THERE is seeking a detail-driven, personable and team-focused Studio Concierge & Admin Support to join the expanding Sydney Studio team.

Role & Responsibilities

General Admin (50%)  Be the face of the studio – Ensure all visitors are greeted and looked after – Accurately answer enquiries (via phone, internet or in person) in a timely fashion – Order stationery supplies and maintain company assets, including computers and telephones – Manage cleaners to ensure a ship-shape studio – Compose letters, reports and emails for SAMs & Director as required – Develop and maintain effective working relationships with third party suppliers and contractors – Ensure Design freelancers are inducted and set up correctly – Manage and implement company policies and procedures – Ensure kitchen and supplies are stocked for key meetings (incl.WRAP Mtg) – Co-ordinate and assist designers with time sheeting on our Streamtime software

Assisting Business Development (20%)  Marketing assistance through content writing and publishing of THERE blogs and EDMs – Assist with fee proposals as instructed by the Business Development team – Preparing content and collateral for Awards Submissions and required 

Project Managers & MD Support (30%)  New client establishment & set-up in our Streamtime system – Issue activation and progress invoices for project managers as advised – Monitor & process invoices within payment terms – Reconcile project purchase orders; invoices, courier and other supplier costs appropriately – Source supplier and production quotes as required – Co-ordinating and preparing Project Workshops – Organise and make travel arrangements for managers as required – Management Directors & Studio calendars to avoid clashes

Skills and Experience Requirements

1-2+ years experience in the same or similar role – Tertiary qualifications and/or exposure experience in media, communications, marketing, client services or production management – Excellent written and verbal communication skills – Meticulous attention to detail and strong organisational skills – Excellent administrative skills – Experience managing multiple tasks and the ability to prioritise – Work well under pressure and consistently meet deadlines – Problem solving and decision-making – Ability to work independently and use your own initiative – Interest in design, branding, art & architecture – Knowledge of Mac software including Adobe Creative Cloud (desirable)
