It has been an exciting few months in our Sydney office with a move to a beautiful new office in Sydney CBD. We are now looking for a master multi-tasker, with excellent verbal and written communication skills, and a positive and upbeat attitude to join the team as a Front of House/Admin Assistant.

 

About The Role

We are seeking a Front of House/Admin Assistant to join our Admin team

The day-to-day will look something like the below, however in a busy, ever changing agency no two days are the same!

The Front of House/Admin Assistant will ensure the smooth and professional operation of the front of house services, events and reception areas and be the first point of contact for clients. They will support the Head of Admin and ensure the office environment supports our busy agency.  In addition to providing exceptional service to clients, visitor and guests and managing administration duties, they will also provide some support to agency marketing and events.

The Front of House/Admin Assistant will ensure the office operates professionally by: 

• Greeting and welcoming clients, guests and visitors

• Politely and promptly answering of all reception phone calls with appropriate call screening and forwarding of incoming phone calls

• Keeping the office and kitchen professionally presented including meeting rooms

• Coordinating and setting up meeting and conference rooms

• Regularly collecting & posting mail

• Ensuring all visitors and trade contractors are signed in

• Handling office filing, sorting and filing mail, maintaining office stationery, and general office tidying

• Managing the requisitioning of office supplies ensuring stationery, kitchen, printer & printing orders are completed so that there are always adequate supplies available

• Coordinating deliveries and couriers as required

• Supporting with admin relating to New Business, Events and Marketing

• Ensuring the marketing database is accurate and updated in a timely manner 

• Taking appropriate actions (card/cake/present) for important team events

• Managing spreadsheets and other office documents.

• Ensuring client / employee confidentiality is maintained at all times

 

About You

You will be a smart, confident and proactive Admin Assistant who is prepared to pitch in with whatever needs to be done. You can think on your feet and adapt to a fast-changing environment, and while you are a confident trouble-shooter, you also have no problem asking for help when required. 

• Exceptional phone manner and communication skills –  listening, questioning, empathy, professionalism, and clear client outcome 

• Strong service skills with a demonstrated experience working in a Customer Service environment

• Excellent organisational skills with demonstrated attention to detail

• Exceptional written and verbal communication skills

• Solid skills in Microsoft office suite including Word, Excel and PowerPoint

• Multitasking and time management skills, with the ability to prioritise tasks

• Responds quickly to change and adopts a flexible/ innovative approach to problems and opportunities

• Energetic personality with the desire to learn and an ability to work independently and as part of the team.

• Positive attitude and genuinely enjoy what you do

• Passion, curiosity and a genuine love for people and great work

• 6 months + experience as an Administration Assistant
